Systems Improvement Program

Our team delivered a strategic report to the Procurement and Grants division, identifying opportunities for business improvement within NDIA, including corporate governance responsibilities for Board consideration. All Procurement and Grants processes, along with supporting IT systems, were reviewed to highlight areas for improvement across short, medium, and long-term horizons.

Our review approach examined policies, organisational guidance, current processes, procedures, training, and reference materials, with a focus on aligning organisational needs and objectives to operational practice. This ensured a logical and coherent identification of gaps, with analysis conducted in the broader context of NDIA’s business.

Where processes were supported or enabled by IT systems, these systems were also assessed to determine their ability to meet organisational requirements, including how they were configured, accessed, and managed to deliver the intended outcomes.

Results

Our team developed a comprehensive roadmap for a continuous improvement program at both organisational and transactional levels across all Procurement and Grants operations. NDIA senior management received a clear view of potential efficiencies for the future of the organisation, supported by executive briefing materials, position papers, cost-benefit analyses, and formal recommendations to the Executive Leadership team.

To assist NDIA users with business-as-usual requirements, we also delivered detailed business transactional analysis, which included:

  • Mapping and analysis of current Procurement and Grants processes and systems
  • Development of Standard Operating Procedures (SOPs) and supporting documentation to drive consistency across the agency
  • Identification of future system requirements based on stakeholder and business needs assessments.
  • Scoping of improvement and transition plans
  • Governance and compliance reviews, with recommendations for inter-agency agreements
  • Recommendations for an ongoing system improvement program to support continuous enhancement
